Hospice Care Ottawa is a community-based charitable organization whose mission is to accompany and support individuals, and their families, through their end of life journey by providing compassionate, high quality care. Hospice Care Ottawa programs include day hospice, home support, family support, and residential hospice services. Hospice Care Ottawa delivers these services at three sites: May Court Hospice, Ruddy-Shenkman Hospice and Maison de l’Est. Position:  Human Resources Administrative Coordinator

Region:  Ottawa


Position Description:
The Human Resources (HR) Administrative Coordinator is responsible primarily for scheduling Nursing, Personal Support Worker (PSW) and On-call staff according to hospice staffing levels, for two hospice residence sites. The position oversees and coordinates systems related to scheduling, staffing, administrative files and record keeping. The successful candidate will work with rotating schedules as well as coordinate the coverage of temporary, long term or complete vacancies, leaves and vacations. This person must be able to work within the guidelines of the collective agreement, with a diverse workforce and in a high paced environment.

Key Responsibilities:

  • Ensures staffing coverage in all residences 24-hours a day
  • Schedules performance appraisals between staff and their supervisor as needed
  • Maintains and updates on-going education and certification data.
  • Completes tracking of requests and responses for all vacation, absences (excused and unexcused)
  • Coordinates staffing assignments to ensure appropriate and complete coverage.
  • May work with staff and volunteers engaged in the organizing the shift needs.
  • Manages applications, job postings, vetting resumes
  • Works in conjunction with the HR/Finance office in managing the employees within the staffing grid and performs weekly time sheet reviews
  • Supports the employee record keeping
  • Works with Directors, Managers and Supervisors in assuring that the staffing demands to operate hospice services are met
  • Performs other job-related duties as assigned related to human resource administration

Reporting relationship:
Reports to the Director of Administration or delegated Manager

Qualifications & Background:
  • Post-secondary school diploma or degree in office or business administration or an acceptable combination of education, training and experience. 2. Bilingualism is preferred (English-French)
  • Thorough knowledge and proficiency in using personal computers particularly in using Microsoft Office programs, and including databases, spreadsheets, Word etc.
  • Experience with scheduling software
  • Experience within a unionized environment
  • Knowledge of general office procedures and practices.
  • Ability to work independently, with minimal supervision and as part of a team.
  • Ability to prioritize, organize work flow, to be flexible, and to meet deadlines.
  • Excellent communication, interpersonal, and organizational skills
  • Available to work occasional evenings and weekends as required
  • Friendly personality, good with public 12. Valid driver’s license and ability to travel to other sites within the City

Salary:  Commensurate with experience

Terms of Employment:  Full-time, permanent
