Position Summary
Under the direction of the Manager, Royal College Services Centre (RCSC), you will provide exceptional administrative/coordination support to the Manager, Associate Director and team members. You will be instrumental in maintaining calendars; scheduling appointments and arranging meetings; screening calls and responding to inquiries; drafting correspondence letters; making travel arrangements; meeting support including preparation of agendas/minutes; and upholding files and contact lists/databases.

You will support RCSC staff in administrative duties related to all RCSC portfolios, including address changes, mailings, correspondence preparation, data entry, generating standardized reports and monitoring the Unit inbox. You will provide administrative support to membership committees and working groups by booking travel, supporting meeting logistics, and processing expense for Membership Unit volunteers. In addition, you will provide administrative support of ongoing membership programs, including the Volunteer Engagement Program and Fellowship Affairs initiatives.

In addition to taking on the full responsibility of certain portfolios such as the insignia collection, you will assist the Grants Administrator during peak times and assist with the volunteer recruitment and onboarding process for all Membership Unit committees.

You come to us with:

  • College diploma or certificate in Business Administration, Office Administration or related field,
  • Three years’ related experience providing administrative support to individuals and teams, preferably in a medical or educational environment,
  • Ability to work in an environment with minimal direction, proactively seeking additional information when needed,
  • Sound discretion and judgement coupled with tact and diplomacy,
  • High motivation, organizational skills and aptitude to meet deadlines,
  • Proven talent to compose correspondence, letters including strong attention to detail, high level of accuracy and proofreading aptitudes,
  • High level of proficiency in the use of the Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, Visio, and database applications.
  • Bilingualism (English and French) is required.
